What the API actually is

WhatsApp gives a business two ways to be reachable. The free WhatsApp Business app is an app on a phone: one person, one device, answering chats by hand. The WhatsApp Business API is not an app at all. It is a connection between your number and software — which means a team can answer from a shared inbox, a bot can handle the repetitive half of the conversation, and your own systems can send order updates, reminders and receipts without anyone typing them.

Because there is no Meta-built interface, every business on the API reaches it through a platform. That platform is what you actually log into and what you pay a subscription to. Meta charges separately, for the conversations themselves.

Who it is worth it for

The honest answer is that it is not worth it for everyone. If one person comfortably handles every chat on a phone, the free app is the right tool and the API adds cost and setup for nothing. The API starts paying for itself when one of these is true:

  • More than one person needs to answer the same number, without passing a handset around.
  • You want to send the same message to many customers — and do it in a way that will not get the number banned.
  • Another system already knows something worth sending: an order status, a payment link, an appointment time.
  • The same few questions arrive all day and could be answered automatically.

What it costs

There are two bills, and confusing them is the most common mistake. Meta bills per conversation, priced by category — marketing, utility, authentication and service — with Indian rates that differ sharply between them. A reply inside the 24-hour window a customer opens by messaging you is treated differently from a message you start yourself. Your platform bills separately, as a subscription.

Service conversations have been free since November 2024, but that changes: from 1 October 2026 they are free only up to a monthly allowance per business phone number, and charged after that. It is worth understanding before it arrives rather than after.

Getting approved

Going live has two halves that people tend to merge. Connecting a number and sending a first message can happen the same day. Meta business verification — which is what lifts your sending limits and unlocks the rest — takes longer, and the delay is almost always documents that do not match the registered business name exactly. The display name has its own rules, and rejections there are common and fixable.

The green tick is a separate matter again. It is granted on notability, not on payment or on plan, and most businesses run perfectly well without one.

Common questions

Is the WhatsApp Business API the same as the WhatsApp Business app?

No. The free WhatsApp Business app runs on one phone and is meant for a single person answering chats. The API has no app of its own — it connects your number to software, so a whole team can answer from one inbox, and messages can be sent and automated by your systems.

Do I need a new phone number?

Not necessarily. A number already on the free WhatsApp Business app can be moved to the API, though the old app stops working on that number once the move completes. A number that has never been on WhatsApp is the simplest case.

How long does approval take?

Connecting a number and sending the first message can happen the same day. Meta business verification, which you need before your sending limits rise, usually takes a few days and depends on how cleanly your documents match your registered business name.

Is the green tick included?

No. The green tick is a separate request to Meta and is granted on notability — press coverage and public recognition of the brand — not on paying for it. Plenty of businesses run on the API without one.
